Refunds, Reschedules & Incidental Deposit Policy

At Parkway Studios, we believe in clear expectations and smooth experiences from the moment you inquire until the lights come down on your event. By booking Parkway Studios or purchasing a ticket to an in-house event, you agree to the terms below.
1. Key Terms
- Client – The person or organization booking the venue or purchasing tickets.
- Event – Any private, public, or in-house function hosted at Parkway Studios.
- Retainer / Booking Deposit – The non-refundable amount paid to reserve your date and time.
- Incidental Damage Deposit – A required, refundable security deposit held for potential damages, overtime, or policy violations. The amount is subject to change and will be stated in your agreement or invoice.
Our goal: protect your date, protect our space, and keep expectations fair on both sides.
2. Booking Payments & Non-Refundable Retainer
- A non-refundable retainer is required to secure your date and time.
- Your booking is not confirmed until:
The retainer is paid, and
Your contract is signed.
- The retainer is applied toward your total rental fee but is not refundable if you cancel.
- Remaining balances are due by the deadline listed in your agreement. Late or missed payments may result in your booking being cancelled with no refund of the retainer.
We reserve your date specifically for you. The retainer guarantees your time on our calendar.
3. Client Cancellations & Refunds (Venue Rentals)
Once your date is locked in, we are often turning away other events. For that reason, the timing of your cancellation matters.
More than 60 days before event date
- Retainer: non-refundable.
- Additional rental payments (excluding the retainer) may be refunded or credited toward a future booking at management’s discretion.
31–60 days before event date
- Retainer: non-refundable.
- Up to 50% of additional rental payments (excluding the retainer) may be refunded.
- Any remaining amount may be issued as a credit toward a future event, subject to availability.
15–30 days before event date
- Retainer: non-refundable.
- No cash refunds on additional payments.
- A partial or full credit may be offered at management’s discretion.
14 days or less before event date
- Considered a late cancellation.
- No refunds or credits on the retainer or any rental payments.
- 100% of the rental amount is considered earned due to lost booking opportunities and staffing commitments.
4. Rescheduling (Client-Requested Date Changes)
Life happens. When you need to adjust, we do our best to work with you.
- If requested more than 30 days before your original event date, we may allow one complimentary date change, subject to availability and current pricing.
- Requests made within 30 days of the event are handled case-by-case and may include a rescheduling fee and/or updated rates.
- A new date is not confirmed until Parkway Studios sends written confirmation.
- If a new date cannot be agreed upon, the request is treated as a cancellation under Section 3.
5. No-Show & Same-Day Cancellations
If your event does not move forward as scheduled and we receive no timely notice:
- No-shows and same-day cancellations are treated as a full loss of booking.
- All amounts paid, including the retainer, are non-refundable, and no credits are issued.
6. Incidental Damage Deposit, Damages & Overtime
To keep the space in top condition for every guest, an incidental damage deposit is required for bookings.
- The deposit amount is subject to change and will be clearly listed in your contract or invoice.
Your incidental deposit is fully refundable when:
- The venue, furniture, and equipment are returned in reasonable condition.
- There is no damage, unauthorized overtime, or policy violation (e.g., smoking inside, exceeding capacity).
- No excessive cleaning is required beyond standard post-event cleanup.
If there are issues:
- Parkway Studios may withhold part or all of the incidental deposit to cover:
Damages
Excessive cleaning
Unauthorized overtime
Policy violations
If damages or overages exceed the deposit, the client is responsible for the remaining balance, payable upon receipt of invoice.
Deposit Return Timeframe
Once your event is complete and the space is inspected, incidental deposits are typically processed for return within the timeframe stated in your contract (for example, within 24–72 hours).
Our standard: respect the space, and your deposit comes right back to you.
7. Third-Party Vendors
We partner with and welcome outside vendors, but:
- Payments made directly to third-party vendors (decor, catering, DJ, photography, etc.) are governed by theirrefund and cancellation policies.
- Parkway Studios is not responsible for vendor refunds, credits, or disputes for services booked outside of our direct agreement.
Tickets to Parkway Studios In-House Events
For in-house events, classes, or experiences produced by Parkway Studios:
- Unless otherwise noted, all ticket sales are final.
- If Parkway Studios cancels the event, guests may receive a refund or credit toward a future event.
- If an event is rescheduled, tickets are normally transferred to the new date. If you cannot attend, a credit may be offered at management’s discretion.
9. Weather, Emergencies & Force Majeure
If your event is impacted by circumstances beyond anyone’s control (for example, severe weather, government orders, utility outages, or emergencies):
- We will work with you to reschedule your event or apply a credit toward a future date.
- In true force majeure situations, Parkway Studios may offer refunds, credits, or alternative dates based on the specific circumstances and how our operations are affected.
Our aim is to be fair, reasonable, and solution-focused.
10. How Refunds Are Issued
- Approved refunds are processed using the original payment method whenever possible.
- Processing times depend on your bank, card issuer, or payment platform. Once Parkway Studios issues the refund, any additional delay is outside of our control.
11. Policy Changes
Parkway Studios may update this policy periodically. The version in effect at the time of your booking, or as stated in your signed agreement, will usually apply to your reservation.
